Privacy statement

Data controller and data protection officer
AquaShip AS by the Chief of Staff is responsible for processing inquiries. The company has a data protection officer.

Purpose

Through employment agreements, AquaShip is required to pay wages and other remuneration to its employees and is required by public laws and regulations to pay in tax deductions, as well as report salary conditions to the authorities.

 

Legal basis

The legal basis for the processing lies mainly in the Norwegian Personal Data Act. The legal basis applies to general personal information - i.e. essentially not sensitive information.

Any justification in Norwegian Personal Data Act /POL §6 will be commented here:

  • Information on trade union membership: Is registered as a payroll deduction for some employees. The business only registers what is necessary to fulfil obligations towards the trade union to which the dues are to be transferred, as well as salary reporting to the authorities.

  • Information about health and illness - absence of more than 16 days. The business only registers what is necessary to fulfil obligations towards the employee, as well as to fulfil claims for reimbursement from NAV.

  • Absence 1-15 days. The date and duration are recorded.

  • Short-term absence < 1 day – not registered under current procedures

 

Description of type of personal data

All financial conditions/reimbursement that follow the employment agreements are recorded, including time lists for hourly employees. See also "Legal basis".

 

Sources

The employment agreements as well as reported information about working hours, sick leave etc. form the basis.

 

Information from the individual/registered person

The registered person has contributed to the submission of all information - see "Sources".

Third parties

The information is not disclosed to third parties other than public authorities such as NAV and the Tax Agency, Trade unions of which the employee is a member (committed via collective bargaining agreements), recruiter (applications/candidates), and accounting firms where an external supplier processes payroll (applies to some employees).

 

Archive and deletion

The business follows the Norwegian Accounting Act's rules for archiving and deletion and stores the information for 10 years.

 

Rights and Jurisdiction

All processing complies with Norwegian law and associated regulations.

 

Security of information

The information stored at personal level is, with few exceptions, not sensitive. Access control has been established for access to information. Access is granted where it is necessary for the completion of work tasks. For groups of employees where salaries are handled by a third-party supplier, access control is ensured by the service provider (accounting agency).
